SLCC Technology Guide and Resources for Working Remotely

Introduction

Technology has made it easier that ever to work remotely, using almost any mobile device.  At SLCC, we provide a variety of services to connect you with colleagues and students if you are working from an alternative location.

A large percentage of our online services do not require anything but a device and an Internet connection.  There are some services that do require special software or information to access.  Below are a few common work functions and the systems recommended for performing them remotely.

Internet Connection

SLCC recommends that regardless of which tools staff/faculty use when telecommuting, they should have access to 10 Mbps (or faster) connection to minimize potential bandwidth issues.  Keep in mind, however, that this is a general recommendation and available bandwidth will be affected by other devices actively sharing the connection.; such as other Internet Users in the home, streaming services, security services, etc.

Remote Access (to services normally available only from on Campus)

For accessing systems that are only available from on Campus, you have two options, AllAccess of VPN

Our recommended solution is AllAccess (typically, the "SLCC Desktop" is recommended for most people).  This acts as a VPN connection and allows you access to systems typically only available from on Campus (Home (H:\Drive) and Department Drives (I:\Drive - etc), Banner, eTreive, SLCC Buy, etc.)  The AllAccess servers have most of the common applications used at the college already installed.  This is a virtual desktop, ready to go.

*Note that if a specific piece of software is needed in on the SLCC Desktop, contact OIT and we can work with you and possibly the vendor to obtain software licenses needed.

You can also use the VPN to access some of the above resources (Banner, eTreive, etc.).  Accessing files remotely via this method is possible but not recommended especially if you are working with large files.

Phones and Voicemail

RingCentral is the #1 cloud communication and contact center solution. It is a cloud-based phone system that will deliver a secure, hosted phone and fax functionality over the internet for your company. With Microsoft Teams integrations, integrated SMS, eFax, messaging and video meetings, RingCentral helps eliminate the need for expensive and complex office hardware, the smart system allows you to use your computer, with the Ring Central app installed and headset or a dedicated office phone to make and receive calls giving students, staff and faculty the impression you are in a “traditional” office whether you’re in the office or not.

Voicemail is available from your email, as well as inside the RingCentral application

TEAMS

Microsoft Teams

Video, Web, and Audio Conferencing

Zoom is the primary solution for video or web conferencing. We have licenses available for all faculty and staff to leverage this function. There is also an integration with Canvas that you can use to schedule online sessions with your students.

Microsoft Teams* also has a video/web conferencing component. From inside a Team, you can start a video conference with your team or if you open Outlook, you can schedule a meeting with Teams like how you can schedule Zoom meetings.  We currently do not have licenses for using Microsoft Teams from a landline or cell phone like you can from Zoom (you can use the Teams app from your cell phone).

*The Microsoft Teams desktop or smart phone client is highly recommended compared to using the web client

Online Collaboration and File Storage

SLCC provides a suite of tools from Microsoft 365 to support seamless collaboration and secure file storage for current staff, faculty, and students. These tools are designed to enhance productivity, streamline communication, and ensure that your files are accessible and protected. Training on these tools is also provided to current staff and faculty for free through OIT Training.

Microsoft Teams

Microsoft Teams is SLCC’s recommended platform for communication and teamwork. It combines chat, video meetings, file sharing, and app integration - all in one place. Use Teams to stay connected, manage projects, and collaborate in real time.

 

File-Sharing Tools

SLCC supports several Microsoft 365 tools for storing, sharing, and collaborating in real-time on files:

Microsoft Teams: Teams is the preferred platform for collaborative file storage. Each Team and channel includes a shared file space powered by SharePoint, allowing members to co-author documents, manage content, and access files from anywhere.

Microsoft SharePoint: SharePoint is the backbone of Teams file storage; every Teams Site has a correlating SharePoint Site. SharePoint is ideal for department-wide document libraries and offers advanced sharing, permissions, and version control.

Microsoft OneDrive: OneDrive is your personal cloud storage space and is ideal for storing personal files and sharing with specific people and small groups.

Email

You can access you college email either from your computer and Outlook, from your smart phone, or from https://outlook.office365.com.  Just log in with your college credentials (username@slcc.edu).

Electronic Signatures and Paperless Processes

Staff/Faculty can use the following tool to minimize the need to send, print, sign, scan, and forward documents.  the tool is available to Staff/Faculty that have requested and been approved for its use.

Adobe Fill and Sign

Adobe Fill and Sign is a free tool that can be used for basic filling and signing of forms without the need of a full license.  If additional features or options are needed, please contact Technical Support at 801-957-5555 or by email at helpdesk@slcc.edu

Broadcasting Classrooms (Smart Rooms)

 

SLCC offers several broadcasting classrooms (Smart Rooms) where faculty can hold class for students that are attending remotely as well as record both video and audio that are stored and can be reviewed later.

If there is a classroom that is currently not set up as a Smart Room for broadcasting, you can contact Technical Support at 801-957-5555 (or by email at helpdesk@slcc.edu) and a request can be submitted to Video Conferencing for review and implementation.
