How To Record the Daily Status or Front End Message

 

Description 

This KB gives instructions on how to record the front end message for the Help Desk queue for a daily status message or to notify the campus there is an issue when they first call in.

  

Criteria 

The following bullet points are the necessary criteria for this KB. 

  1.  Access to a phone
  2.  Fingers
  3. A voice 

  

Estimated Time to Complete 

This task should take about 3-5 Minutes - If all goes according to plan (encountering no problems). Do not feel pressured to complete the task in this amount of time. 

  

Resolution 

To record a front end message, please follow the steps below. 

  1. Dial 5555 (801-957-5555 if off campus).
     
  2. Immediately press the star key (*) when it answers.
     
  3. Enter in the PIN, 135246, followed by the pound key (#).
     
  4. Follow prompts as the phone system offers:
    1. Press 2 for Account Administration.
    2. Press 2 to record greeting.
    3. Press 1 to record introductory greeting.
    4. Press 3 to change the message.
       
      1. It needs to say “Thank you for calling Salt Lake Community College Technical Support, today is (Day, Month, Date and Time. Example: Thursday, June 13th, 10 AM) currently there are no known network or system issue to report.” Unless there is an issue, then record that issue. Example: “Currently we are experiencing troubles with (system), we are working to resolve these issues and as of yet have no estimated time of resolution.” (unless there is an ETR). Stay to this format.
         
    5. Press pound key (#) after recording message (Note: try to do this as soon as possible to limit dead air).
       
  5. Then you can listen to your recording or re-record as needed after pressing pound (#).
