PDC Zoom Meeting Setup

This KB gives instructions on how to setup a Zoom meeting in a PDC.

Room Desktop PC and Zoom Instructions

  1. Power on the room’s touch panel and select PC
  2. Switch on the wireless keyboard and mouse.
  3. Press control alt delete
  4. Use the room's 6-digit code to log into the computer.

     

Using Zoom on the Room’s Desktop Computer

  1. To start the Zoom meeting on your laptop, locate the meeting either on your Zoom App, your online Zoom account, or on your Outlook email and then click "Start the meeting on your laptop."
  2. On your laptop make sure the laptop speaker and microphone is muted in Zoom.
    1. (Or when asked to join audio just close the prompt and that will ensure you do  not join with audio on your laptop)
  3. Next join the room’s computer into your meeting with the room’s Zoom app. (use the room’s keyboard and mouse.)
    1. The room is like a second person joining your meeting.
  4. On the room’s computer click the Zoom app.
  5. Do not log in but click on “Join Meeting” on the room’s computer.
  6. Next locate the “meeting ID” and the “passcode” on your personal laptop by clicking on the a green shield  located in the upper left corner.
    1. After you click “join meeting” on the room’s Zoom app it will ask for the “meeting ID” and “passcode.”
    2. Type in your meeting ID
    3. Type in your passcode.
  7. Next confirm the audio on the room’s computer for Zoom.
  8. Click test audio and follow prompts and then “join with computer audio”
    1. If you can not hear the speakers or the microphone during the Zoom audio test, then select a different audio device.
    2. MAKE SURE THE ROOM’S COMPUTER IS UNMUTED AND THE CAMERA IS ON.

 

Inviting additional attendees

  1. Using your own computer will allow you to invite others to your meeting if necessary.
    1. For Zoom you can go to your personal calendar and add more attendees and update the calendar invitation.
    2. Or in the Zoom meeting you can also go to the “participants panel” and choose to invite and copy meeting information and send out as an email.

 

Sharing your screen via Zoom

1.  Use your laptop for the meeting, you can now share content into the meeting and into the video conferencing room using the Share Screen button located on the bottom center of the screen

(Make sure to click “Share Sound” and “Optimize For Video Clip” located at the bottom left corner of the window that appears)
