Outlook for Windows

 

How to ‘View’ a Shared Mailbox

 

You must have permissions to view a Shared Mailbox.

1. On the upper left corner of the Outlook window, click “File.”

2. Under “Account Information,” click the “Account Settings” dropdown menu.

3. In the “Account Settings” window, select your own email address, and then click the “Change” button.

4. In the “Change Account” window, click “More Settings.” This window can look slightly different depending on your version of Outlook.

5. A smaller window will appear.  Click the “Advanced” tab and click “Add” to open additional mailboxes.

6. Type the name of the Shared Mailbox and click “OK.”

 

7. Repeat steps 5 and 6 to add additional mailboxes.  When you are finished adding mailboxes, click “OK.”

 

8. When returned to the “Change Account” dialog (seen in step 4), do not click “Next.” Instead, click “Cancel.”

 

9. In the “Account Settings” window (seen in step 3), click “Close.”

 

10. The left side of the Outlook window will now show the added Shared Mailboxes.  You may need to scroll down below your own email folders to see them.

 

How to ‘Favorite’ a Shared Mailbox

 

1. Under the added mailbox, right-click on the “Inbox” folder, click “Show in Favorites.”

2. Scroll to the top of the left side of the Outlook window to above your email address. You will now see the Shared Mailbox in your “Favorites” section.

 

How to ‘Send From’ a Shared Mailbox

 

Sending from a Shared Mailbox requires specific permissions, and we do not grant these permissions by default.  Permissions to send from another account need to be requested.

 

1. Make sure you are in the “Mail” view by clicking on the “Mail” icon at the bottom left of the screen and then click “New Mail.”

2. With a new mail message open, click the “Options” tab and select “From” in the “Show Fields” section.

3. In the new message window, you will now see the “From” drop button.  Select “Other E-mail Address…”

4. Type in the email address of the Shared Mailbox you wish to send from.

 

 

Outlook for Mac

 

*IMPORTANT NOTICE*

Verify in the Outlook menu bar next to the Apple, that Legacy Outlook is Checked. If you're running New Outlook, checking it will require you to restart Outlook. With the granularity of the rights that OIT granted users to shared mailboxes, the New Mac Outlook is unable to open shared mailboxes at the College.

 

How to ‘View’ a Shared Mailbox

 

1. On the Tools menu, click Accounts > Advanced > Delegates.

2. Click the “+” under “Open these additional mailboxes.”

3. Type the name of the Shared Mailbox and click “OK.”
