Simple Syllabus Compliance Admin Guide

Simple Syllabus has expanded admin permissions for staff and faculty who need extra access to help ensure compliance with state regulations. This new role gives you access to all master and course syllabi, and reports for your college or department. Your access can vary depending on your current responsibilities within your college or department. Ultimately, academic departments are responsible for their own syllabus compliance, so contact elearningsupport@slcc.edu if you need any training, help, or extra access.

Using the Track page

The Document Track page is where admin and any sub-admin roles can locate and track the status of all documents within your department or college. From this page you can search for, edit, and submit any course or master syllabus. You can also view the status of the syllabus, as well as the syllabus revision history.

Syllabus Status

Simple Syllabus has four statuses, and they sometimes overlap.

  • Not Started (grey color) - The syllabus is blank, or the instructor has not made any changes to the content in the syllabus. If a syllabus has content automatically imported from the Master Syllabus, but the instructor hasn't added their information or made any changes, then the status will still be Not Started.
  • In Progress (orange color) - Someone has made some sort of edit to the syllabus that has not been submitted. Even small changes, like accidentally adding a space to a component, will show that a syllabus is In Progress. 
  • Completed (green color) - All of the edits in the syllabus have been submitted, and there are no pending changes.
  • Submitted (green checkmark) - The syllabus is live and viewable from Canvas as well as the Syllabus Library. Unlike the other statuses, this is indicated by a green checkmark.

Important Note: A syllabus can be both Submitted and In Progress if there are unsaved edits to a component made after the syllabus was submitted. Because of this, for compliance reasons, the only important status is Submitted. If it has a green checkmark, then the syllabus is live and visible.

Searching for Syllabi

Use the Term drop-down near the top of the page to search the appropriate term. Using the appropriate check box(es) select Future, Current, and/or Historic terms. Select or deselect the all check boxes that apply to filter the search results.

To efficiently find syllabi, use the Search tool to narrow the results by filtering for keywords or phrases, statuses, type, subject, and instructor. A summary of each search filter is provided below.

  • Search - Search all syllabi using a keyword or phrase. For example, if you are looking for Intro to Chemistry syllabi or tasks, you may enter Chemistry into the Looking for something… search field, or to further narrow your search, enter Intro to Chemistry to find all associated items.
  • Status - The status of a syllabus. See above for a more detailed description.
  • Type - Filter your search by Course Master or Syllabus or both. Select or deselect the appropriate check box to filter the search results.
  • Subject - Narrow down syllabi to a specific subject code. The drop-down list is automatically populated with approved subject codes for your institution.
  • Organization - Search for all syllabi that are associated with a specific department, school, college or another organizational level within your institution.
  • Instructor - Search for all syllabi associated with a specific instructor.
  • General Education - This allows you to filter based on Gen Ed designations.
  • Online - This allows you to filter based on whether a section is Online/Hybrid, or in person.

Edit and Submit

You have the ability to complete or modify syllabi for other users within the system.

  • From the list of syllabi, click Edit for the syllabus to be edited and the syllabus publisher will launch. 
  • Make any necessary updates and click Submit or approve the syllabus if necessary.
