Summary

Learn how to configure Microsoft Outlook to use a Shared Mailbox for Mail Merge. This process requires creating a separate Outlook profile for the Shared Mailbox and ensuring your account has Full Access permissions. Once configured, Outlook will prompt you to choose between your personal mailbox and the Shared Mailbox when launching Outlook for Mail Merge activities.

Overview
This article explains how to configure a Microsoft Outlook profile for a Shared Mailbox so it can be used with Mail Merge.  Because Mail Merge requires a dedicated Outlook profile, the Shared Mailbox must be added as a separate profile rather than accessed through Outlook's standard shared mailbox features.  Before proceeding, ensure your account has Full Access permissions to the Shared Mailbox.  These steps should only be used when a Shared Mailbox is being used as the sender for Mail Merge communications.

Verify Your Access
The following is needed to complete the steps in the Knowledgebase Article:
  • Your account will need to have Full Access permissions to the shared mailbox before you are able to connect in this way.  Contact IT to confirm you have the correct permissions to the Shared Mailbox.
  • These steps are NOT for regular access to a shared mailbox.  These steps should only be performed if your intention is to use Mail Merge.
  • A mail merge to a shared mailbox requires a full profile for the mailbox to be configured in Outlook alongside your own profile.

Steps to Follow
1. In Outlook, Click File menu on the top left.

2. Click Account Settings, Manage Profiles.

3. In the following dialog, select Prompt for a profile, and click Add to create a new profile.  If you do not select the Prompt bullet, Outlook will continue to automatically choose profile.  We need Outlook to ask what profile to use when a mail merge is initiated from another application.  Otherwise, you will not be able to switch between your mailbox and the shared mailbox.

4. Give the profile a name. This name is what is listed when outlook ask which profile to load.

5. When the Account Setup dialog appears, enter only the email address of the Shared Mailbox you want to connect to for mail merge.  DO NOT ENTER ANY PASSWORDS.

6. After clicking Next, you will then be prompted for credentials. It will default to the address of the shared mailbox, so you need to clear it and enter your own credentials.  You should not enter the login credentials for the Shared Mailbox.  You will only enter your own credentials here, this is why your account needs permissions to the mailbox.

From that point on, opening Outlook will prompt for what profile to use; Yours, or the Shared Mailbox.
